Disabling and removing products from your web store

Version note: Magento 1.7 and 2.1

When a product is synchronised from Retail Express, it creates a separate product within the web store. This means that while the product in Retail Express and the product in your Web Store, display the same information, they are actually separate items.

Note: In order to remove the product for web, it's important that you turn off the "Export to Web Service" option in Retail Express AND remove the product from the web store.

Turning off the "Export to Web Service" option is only going to stop the communication between the two systems, effectively meaning the product on the web store won't be updated.

Your web store will not receive the latest information from Retail Express. 

For example, if a product on the web store is enabled and has 8 in stock when Export to Web Service is unticked on its partner in Retail Express, the product on the web store will remain Enabled and continue to show 8 in stock. It will not be disabled for you.

Turning off the "Export to Web" feature can be done either individually or on a bulk basis:

Individually:

  1. Open the product for editing within Retail Express
  2. From the main tab, locate the Web Service section
  3. Unick the Export to Web Service option
  4. Scroll to the bottom of the page and press Update.

In Bulk:

  1. Navigate to: Inventory > Mass Download
  2. Follow the prompts to download the spreadsheet of the products within the database
  3. For each product that you want to export, in the column “ExportToWebService” change the option to “FALSE”
  4. Save the spreadsheet
  5. Upload the file through the Inventory > Mass Upload method (ensure you have removed any outlet tabs from the spreadsheet first to avoid overwriting the quantities in Retail Express).

Before disabling/removing the products from the webstore, ensure the steps in the Retail Express configuration setting have been followed.

Simple (individual) products:

You will need to change the status of the product on the web store to "Disabled".

You can do this on your web store by going to "Catalogue > Manage Products" and searching for the products you want to remove.

Once you have found the products, tick the check box to the left of the products you want to disable and then choose "Change Status" from the Actions drop down at the top right corner of the results, then "Disabled" from the status drop down that appears, and click "Submit".

Configurable (grouped) products:

If it's an entire grouped product, follow the instructions above to remove the entire group from the site.

However, if it's only one product within the group you will need to do the following two steps:

  1. Disable the individual product (following the steps above)
  2. Remove the association of the product from the group

To remove the association you will need to:

  1. Navigate to Catalogue > Manage Products
  2. Locate the configurable product and open it for editing
  3. Click on the Associated Products tab on the left
  4. In the list of products at the bottom of the screen, locate the individual product
  5. Untick the tickbox in the left column so the product is no longer associated
  6. Press Save to save the changes

Simple (individual) products:

You will need to change the status of the product on the web store to "Disabled".

You can do this on your web store by:

  1. Navigate to Products > Inventory > Catalogue 
  2. Use the filters to search for the products to be removed
  3. Tick the check box on the left of the products to be disabled
  4. From the "Actions" drop down select "Change Status"
  5. Select "Disabled"
  6. The page will refresh and the products will be disabled accordingly.

Configurable (grouped) products:

If it's an entire grouped product, follow the instructions above to remove the entire group from the site.

However, if it's only one product within the group you will need to do the following two steps:

  1. Disable the individual product (following the steps above)
  2. Remove the association of the product from the group

To remove the association you will need to:

  1. Navigate to Products > Inventory > Catalog
  2. Locate the configurable product and open it for editing
  3. Scroll down to the "Configurations" section (listing all the individual items in the group)
  4. Locate the individual product to be removed
  5. From the "Actions" drop-down select whether to "Remove" the product or "Disable" the product
    • If the product has been associated with the group incorrectly, select "Remove"
    • If the product is in the correct group but just no longer available, select "Disable"
  6. Press Save to save the changes

The most common reason for products selling when they are not available is that they have been disabled or "Export to Web Service" has been unticked, which means the stock levels did not update on your web store to be "Out of Stock".

When a product goes out of stock in Retail Express it is important that the product is not disabled and Export to Web Service is not unticked, as this will stop your web store from getting updated product information (including stock level). Instead, your product will remain with the same stock level and status online as the last time it successfully synchronised.

As your web store and your Retail Express system synchronise it will retrieve the latest stock level for the product automatically, and mark it as "out of stock" accordingly. 

Should your product display as "in stock" incorrectly, you will need to re-tick "Export to Web Service" on any affected products. During the next synchronisation the products will be updated to "Out of Stock" correctly.

If the products are being re-added to the web store, check the settings for the product within Retail Express. Typically this issue is caused by the "Export to Web" setting remaining enabled, which means when the product is updated it will be synchronised with the web store, and created if it's identified it doesn't exist already. Once the "Export to web" setting is switched off Retail Express and the web store will no longer communicate about this prodcut.
